WO Tasks Subtab Fields

The Tasks Subtab is the default display when you open a work order record. The lines are read-only. Click the BtnPlusSign plus sign at the left of a line in the multi-task grid to display any trades that have been linked to the task. Trades are not required; therefore, not all tasks will show trades.

The fields on the task line are derived from entries made to the Add Task popup window. Instructions about how to add and edit tasks are included in the Tasks topics.

The following text defines the columns on the Tasks Subtab.

Task – The task code from Organization > Task > Records.

Description – The name of the task.

Finish Date – The date this task, or the technician's portion of the task, was performed.

Completion Date – The date the task and all related paperwork or other activities are completed. This does not close the work order. The Completion Date field on the Identity Tab does that.

Failure Code – When a PM fails and the task cannot be completed, a code is used. It is taken from the codes established in Organization > Lookups > Failure Codes.

Failure Subcode – If a PM fails, the Failure Code may have a number of subcodes for further refinement. If so, the appropriate subcode is displayed here.

Contractor – The Contractor field specifies an approved contractor as the person who will perform the work.

Scheduled – This check box is a visual cue that a technician has been assigned to perform the work. This is done from the Work Order / Schedule Tab.

Not Located – When the technician cannot find the item to perform the job, he or she marks the Not Located check box on the Add Task popup window, and the information is reflected on the task line.

Healthcare licensees. If the work order applies to biomed equipment, a popup asks if you wish to update the item record. If you choose, you can mark the Biomed Equipment record as Not Located and/or inactive (not in service). For inactive records, the Active check box is blank on the Biomed Equipment / Identity window.

Work Not Done – When the technician cannot perform the job for reasons such as "parts not available," he or she marks the Work Not Done check box on the Add Task popup window, and the information is reflected on the task line.

Failed PM – When a PM fails, the technician marks the Failed PM check box on the Add Task popup window, and the information is reflected on the task line.

Due Date – The Due Date field is not required. If you use the Notification & Escalation module, Due Date is a possible Beginning Range, and WebTMA looks to this field for the date. Your custom reports can also look to this date if you choose to complete the field for each work order.

Acknowledgement – A checked box indicates the technician has acknowledged the work from the Action Menu Acknowledge link. This creates a trail of accountability for work that falls within criteria set in the optional Notification & Escalation module.

Acknowledged Date – When work is acknowledged, the column shows the date of acknowledgement.

Acknowledged By – When work is acknowledged, the column shows the person who made the acknowledgement.

Inspection? – A check icon in this multi-task grid column indicates that the work order is part of the optional General Inspection module. Click the check mark to open the Inspection Sheet. On the Single Task Work Order window, click the Inspection link at the top of the Task Info Subtab to open the Inspection Sheet.

PM Task Sheet? – A check mark in the column alerts you that a PM Task Sheet exists. If a check mark is visible, click the icon to open the Task module in a separate window with the Task Sheet Tab displayed. Single Task Work Orders display a link above the fields on this Subtab if a task sheet is available.
