Although considered elective by default, some of these fields may be required by your organization.
Account # – If a work order is chargeable to a single account, type or select the account number to be charged in the Account # field. This must be a valid account number set up in WebTMA. You can enter an account number in the Account # field, regardless of whether the Charge check box is marked.
If you select a Requestor before entering an account number, the field is automatically populated with the number associated with the requestor's department when a department has been designated on the Requestor's record and an account number has been recorded on the Department record.
If an area or floor is selected and its affiliated building has no account, the account number is taken from the associated facility.
Because of the multi-account billing feature of WebTMA, the account number is not required by default to save a chargeable work order. However, an account number must be supplied either in the Account # field on the Work Order / Identity Tab or on the Billing Info Tab before you can post the charges from the work order to the designated account records.
Charge check box – Click the Charge check box if the work is to be charged to a department or account. Checking this box indicates the work order is chargeable; an empty check box indicates the work is non-chargeable.
Completion Date – Enter the date when all tasks and paperwork are finished, and the work order has no outstanding internal processing requirements. This is different from the Finish Date shown in the Task grid and on the More Info Subtab. The term "Finish" means the job is done; however, most organizations have other processes to complete before the Completion Date is added.
Department – Include the department related to the work order if this information is tracked. WebTMA will roll all costs for the work order to the department if one is specified. No account number is required to display costs on a department record.
E-mail – The E-mail address field displays the e-mail address of interested parties that need information about the work order. Click the icon to the right E-mail field for a selection window of addresses previously entered in this field.
Est. Start Date – Type the approximate or desired date work will commence in the Est. Start Date field.
Est. End Date – Use the Est. End Date field to indicate the estimated completion date of a work order. The information in this field does not have any direct relationship to the actual close date of the work order or the status of a work order defined as Closed.
Notify Me – When this check box is marked, WebTMA sends an e-mail message with a status change. If used, be sure an address is added to the E-mail field. By default, the box is checked when you create a new work order.
Phone # – The Phone # field displays the telephone number of the requestor. When you enter an exact match of the Requestor's phone number and tab out of the field, WebTMA automatically completes related Requestor fields. If data has been entered in the related fields, this action does not overwrite existing entries.
Reference # – The Reference # field is used to add any reference numbers specific to your organization. These do not relate to the WebTMA tables.
Request Log # – If the work order is created when a request is approved from the Request module, the original Request Log number is shown here.
Status – The Status field identifies the current phase of the work order or whether it has been delayed for some reason. Select pre-defined status text when conditions change. By default, WebTMA adds the terms Created and Completed when you first save a new work order and when the Completion Date is added. If you click Tracking on the Action Menu you can review previous status changes and add additional information. However, a status added to the Tracking Window does not display in the Status field on the Identity Tab.
Supervisor Name – The supervisor assigned to the trade displays in this field.
WO Subtype – The WO Subtype field is optional and is used if the work order type is further refined using subtypes.
