Allocated Parts and Tools Subtabs

Use the Allocated Part Subtab to review, reserve, and convert parts that are used with the work order. Similar to parts, tools can be designated for use with a work order as well. The Allocated Tool Subtab is used to designate tools held in reserve similar to allocated parts. The Allocated Tool Subtab is limited to reserving a tool, but the process of adding allocated tools is similar to adding allocated parts.

Allocated parts are those currently available in the warehouse that are held in reserve for a particular job, i.e., allocated to the work order. When parts are allocated, the warehouse number of available parts is reduced by the number allocated. If parts are either out of stock or non-stocked, the Purchase Distributions grid on the Allocated Part Subtab displays any items that have been ordered and designated as a distribution to this work order.

The columns on the Allocated Part Subtab indicate the quantity of parts Allocated and the Balance reserved in the warehouse. You are not required to convert all allocated items. The quantity you convert is subtracted from the Quantity column on the window. If you do not use all the allocated parts, restrictions on any remaining allocations are removed and the line item set to zero when you close the work order. A Balance of zero indicates the part was converted or the work order is closed.

Parts can be added directly to this window; however, if you use the Required Parts link on the Action Menu, lines display on the Required Resources/Parts Subtab. Once you click the Alloc link on the Required Resources/Parts Subtab, the line item also display on the Allocated Part Subtab. Once the part is used by the technician, select the part line, and click the Convert link on the Allocated Part Subtab to change the number in the Balance column. The Balance indicates the number of items for this part line that are held in reserve by the warehouse.

Your user record includes permissions for Warehouse access. If you do not have access to the warehouse where the part is stored, part line items can be viewed but not deleted in Edit mode. This applies to multi-task and single-task work orders.
