The more information you can record about your vehicle, the easier it is to track and maintain.
Account type the cost code used by the work order system to charge work to an account. If blank, the system uses the client/department account number.
Active a mark in this check box indicates the vehicle is in use. This is the same as other WebTMA active/inactive indicators where the record is retained in the database but placed on inactive status when no longer in use.
Area # the area where this vehicle is located, if applicable.
Assigned Tech the technician that is automatically assigned to work when the vehicle is selected on a work order. The technician is assigned regardless of how the work order is created, such as WebTMA, WebTMA GO, or mobileTMA. The assignment also applies to PMs and Auto Attendant work orders.
Beginning Miles type the mileage reading on the odometer at the time of purchase.
Condition at Inventory select the appropriate category to describe the vehicle when inventory is taken.
Department click the down arrow to select the department that owns or has primary use of the vehicle.
FAA Paperwork Required for aircraft-related vehicles, mark this check box when FAA rules apply.
Floor Code the floor where the vehicle is located, if applicable.
Fuel Type select the type of fuel used by the vehicle. When the field is populated, the type shows as the default on the Fuel & Oil or Quick Post Fuel & Oil windows to speed data entry when fuel is added to the vehicle.
Inventory Technician select the name of the person who took inventory and rated the vehicle's condition.
Last Inventory date the last inventory was taken.
Last Inv Location location of vehicle at inventory.
Last Emission Test if emissions testing is required in your city, type or select the date of the last test. The date must be manually updated.
Last Safety Check if regular safety inspections are required in your city, type or select the date of the last inspection. The date must be manually updated.
Last Tune Up Date type or select the date of the last tune up.
Last Tune Up Mileage type the odometer reading at the time of the most recent tune-up
Latitude the latitude of the location where the vehicle is kept.
Location ID the combination of the building code and the area code, if applicable.
Longitude the longitude of the location where the vehicle is kept.
Manufacturer click the down arrow and select the name of the vehicle manufacturer or type the name that's on record. Manufacturer information is established using Materials > Manufacturers.
Next Emission Test if emissions testing is required in your city, type or select the date of the next scheduled test. The date must be manually updated.
Next Safety Check if regular safety inspections are required in your city, type or select the date of the last inspection. The date must be manually updated.
Prevent Archival available with the optional purchase Archive & Purge module. If the module is used, you have the option to prevent certain vehicle records from being archived when you mark this check box.
Purchase Cost type the purchase price of the vehicle.
Purchase Date select the date vehicle was purchased.
Registered Date when a vehicle has a warranty, this field reflects the date the warranty was registered with the manufacturer.
Replacement Cost type the amount determined by your accounting department that represents the amount required to replace the vehicle.
Sch Replacement select the date the vehicle is scheduled to be replaced.
State License # type the license plate number issued by your government.
Sub-location include details about the location of the item within a site when it is difficult to find vehicles in a large area. For example, NE corner of lot.
Subtype Desc use this field to further refine a type class.
Vendor click the down arrow and select the name of the seller of this vehicle or type the name that's on record. Vendor information is established using Materials > Vendors.
VIN the Vehicle Identification Number shown on the vehicle registration.
Warranty Date type the date the warranty expires on the vehicle.
